Draft Minutes of the Chollerton Parish Council AGM held on 25th May 2022

PLEASE NOTE THAT THESE MINUTE S ARE STILL TO BE RATIFIED

Minutes of the Chollerton Parish Council AGM held on Wednesday 25th May 2022 at 7.30pm in Barrasford Village Hall

Present:        Cllr Edward Heslop in the Chair

County Cllr Nick Morphet

Cllr Andy Bennett

Cllr Fiona Charlton

Cllr Bruce Lowdon

Cllr Dorothy Pigg

Ms Jayne Longlands in attendance

The Chair welcomed everyone to the meeting.

  1. Apologies for Absence.

Received from, Cllr Malcolm Johnson, Cllr Michael Smith and Cllr Maggie Tarbit.

  1. Confirmation of Chair for the Annual Parish Meeting

Cllr Edward Heslop was proposed as Parish Council Chair by Cllr Fiona Charlton, seconded by Cllr Bruce Lowdon, and duly elected.

  1. Minutes of the Annual Parish Meeting held on 19th May 2021

The Minutes of the Annual General Meeting held on 19th May 2021 were approved as a true and correct record and duly signed by the Chair.

  1. Chair’s Report

Cllr Heslop had circulated a copy of his report to all Parish Councillors prior to the meeting (a copy would remain on file with the minutes).

  1. Accounts for the year ended 31st March 2022

The Chair noted that we had lost our external auditor at short notice; following the Chair’s request, Armstrong Watson Accountants had been asked to prepare the 2021/22 accounts in the interim.

There was a slight anomaly in that some of the figures from the previous year did not ‘carry over’; it was a figure of around £1,200 that was ‘extra’.  It was noted that the second set of accounts which the Clerk had issued earlier that day were the set that needed to be approved (subject to one or two anomalies which needed to be rectified after the meeting); the charge for this would be between £200 and £500.  It was AGREED that this process to rectify the accounts be authorised.

The Statement of Accounts for 2021/22 were submitted to the Parish Council for their approval; it was AGREED that they be approved, as proposed by Cllr Dorothy Pigg and seconded by Cllr Bruce Lowdon as a true and correct record, be duly signed by the Chair and Clerk, and submitted for external audit.

  1. Any Other Business

Business taken under this agenda item is for discussion only.

The Chair thanked everyone who attended the AGM for their contributions; there being no further business, the meeting closed at 7.37pm.

A meeting of Chollerton Parish Council then followed.
